Nice way to remind somoone?

Hi, my graduation is in May and part of the ceremonies allows a close faculty to participate. I have an adviser that I've been with, but unfortunately we are not as close as most adviser/advisee relationships are.

 

I have asked him to participate, but he said he doesn't know if he can attend until much later. However, I have a few deadlines (which I have informed him of) that I need to meet regarding informing the graduation committee whether he can participate or not.

 

What is a nice way of reminding him about the deadlines given that I think his response was a nice way of saying no (without outright saying no) and given that I had already informed him of these deadlines so I think he is aware of them? (Saying no would have been better since then I can just proceed.)

"Hello __________. I really hate to bother you with this but I am very excited to get everything squared away for my graduation. Unfortunately, I was told that I have until ____ to let them know whether or not you will be able to participate and I would really like it if you were able to do so. If not, I appreciate the consideration but I need to know as soon as possible so I can start thinking of a plan 'B'".

Why do you need this particular advisor to attend, especially since he already said that he might not be able to until much later? Are you getting a post-graduate degree and is he the one who's supposed to hood you as the chair of your committee? If so, how about asking some of your other committee members to do it instead?

Why do you need this particular advisor to attend, especially since he already said that he might not be able to until much later? Yup, he's my chair and it is the hooding ceremony. He's the closest person I've worked with, but even so not that close. I'm not close with any of my other committee members.

 

Actually, I don't really care if he goes but I wanted to invite him out of courtesy in case he was expecting to, but just didn't know how to handle this situation...whether to give him a solid way out or to urge him to give a response.

 

But avi's response sounded good!
